Cost vs Innovation: FM Professionals weigh the price of digital transformation, latest report from MRI Software reveals
London, 14 April 2025 – The 2025 Voice of the Facilities Manager report reveals that facilities management (FM) professionals are ready to take the next step in digital transformation. More than two-thirds (68%) of FM professionals expect to invest in new technology within the next 12-18 months, with 42% of respondents reporting increased budgets to support these initiatives. However, cost remains a significant challenge, with nearly half (46%) citing high expenses as a barrier to adoption.
The annual report, based on insights from over 1,000 FM professionals across the EMEA region, highlights the evolving priorities and challenges in the sector. Key findings reveal the growing demand for AI-driven solutions, the need for clear technology ROI, and the role of digital tools in tackling compliance and workload pressures.
Technology and AI investment remains a strategic priority with efficiency and productivity driving FM teams toward new technology. Nearly three-quarters (73%) of respondents cited streamlined processes, reduced manual workloads, and optimised resource allocation as key motivators. Mid-sized teams (10-50 members) report the highest levels of frustration with current technology, making them prime candidates for innovation-driven solutions.
AI is emerging as a decisive factor in technology investment decisions with almost half (45%) of FM professionals stating they would switch to AI-integrated technology. This reflects the growing importance of automation and data-driven decision-making in facility management. AI’s most valued benefits include improved efficiency (40%), enhanced decision-making (24%), and streamlined data analysis (16%).
While there is strong momentum toward digital adoption, financial constraints remain a challenge. The report highlights that upfront costs, ongoing maintenance expenses, and the risk of the new technology being underused may deter many businesses from investing. Addressing these concerns, the report highlights the importance of demonstrating clear ROI, ensuring that FM teams can justify expenditures and maximise the value of their investments. Adequate training will play a key role in changing this perception.
“Facilities management is evolving rapidly, and while AI and automation present incredible opportunities, the real challenge lies in implementing a data strategy to embrace these opportunities and drive meaningful progress. Cost also remains a significant barrier and the key to overcoming this is through demonstrating real, measurable ROI, ensuring that investments in AI and technology translate into tangible efficiencies.” – James Massey, Managing Director of Facilities, Energy and Retail Intelligence.
Beyond operational efficiencies, compliance (13%) and workload (13%) emerge as top concerns for FM professionals in both the UK and Europe. These challenges present a significant opportunity for AI-powered solutions to enhance adherence to regulatory compliance automate reporting and reduce the administrative burden.
With increased budgets, a willingness to embrace AI, and a clear focus on efficiency, the FM sector is at a turning point. The right solutions – those which deliver tangible benefits and strong ROI – will be instrumental in shaping the next phase of digital transformation for FM professionals.
